HVAC Service Manager

Overview:
We are a commercial plumbing and HVAC equipment manufacturer’s
representative, servicing the state of Arizona. We partner with engineers, contractors,
wholesalers, building owners and developers to provide plumbing and HVAC system
solutions. Our team is experienced in all facets of construction from design and new
construction to expansions, retrofits and upgrades. We offer sales, service and parts
distribution. Our mission is to establish lasting relationships with our customers by

As a growing company, we are seeking an experienced and motivated HVAC Service
Manager to join our team. The ideal candidate for this role will have the ability to
leverage technology to enhance communication and operational efficiency of the
service department. They will be responsible for scheduling and dispatching technicians
for service, maintenance or emergency repairs outside the place of business and will act
as a liaison between the customer and the company, making sure customer needs are
met.
Responsibilities
• Receive initial service request and act as a single point of contact for customers.
• Maintain understanding of mechanical systems to make appropriate decisions in
scheduling all types of work.
• Coordinate with customers to schedule service appointments (equipment
startup/commissioning, owner training, maintenance, repairs, etc.)
• Respond to customer inquiries, provide status updates, and address any concerns
related to service appointments.
• Prioritize calls based on severity and availability of appropriate service technician.
• Generate service proposals and work orders.
• Coordinate with parts department to ensure timely availability of required
components/parts.
• Provide technical support to service technicians when needed (assist in
diagnosing and troubleshooting technical issues).
• Ensure compliance with safety standards and regulations.
• Prepare daily work schedules for service technicians.
• Audit site visit reports weekly in accordance with established procedures.
• Receive and document customer purchase orders.
• Assist parts/warehouse team in preparing warranty return shipments and labeling
incoming equipment/parts for service department.
• Continuously improve dispatching processes and contribute to enhancing overall
operational efficiency.
• Collaborate with other internal departments to coordinate service activities,
address billing inquiries, and manage parts/inventory for service jobs.
• Available as necessary for after-hours dispatching.
Competencies
• In-depth understanding of boiler and HVAC systems, including installation,
maintenance, and repair procedures.
• Proficiency in using diagnostic tools and interpreting technical diagrams and
manuals.
• Familiarity with safety standards, codes, and regulations relevant to HVAC and
boiler systems.
• Excellent time management skills.
• Strong organizational skills and ability to maintain accurate records.
• Working knowledge of and familiarity with computers, Sage 100, MS office,
HubSpot, smart phone, internet, and email functions.
• Ability to adapt to changing schedules, customer demands, and unforeseen
technical challenges.
• High School Diploma (or GED or High School Equivalence Certificate)
• Minimum of three (3) years experience dispatching and/or a service capacity,
preferably in the HVAC / Mechanical service industry.
• A solid understanding of boilers, burners, burner management systems and
related steam and hot water systems.
• Working knowledge of and familiarity with computers, Sage, MS office, HubSpot,
smart phone, internet, and email functions.
• Expected hours: 40 per week.

• Well organized, self-motivated and able to work independently. Must also be

• Comfortable with working in all types of conditions
• Valid Driver License and clean driving record
• Knowledge of basic electricity, electrical control systems and general knowledge
of mechanical systems
• Must keep up to date with all product certifications
• Availability to work overtime and on call shifts.
